Confirm three things separately: when notice is due, when the bed will be collected and what event stops billing. Then check unused-time refunds, deposit deductions and any collection or late charges against your agreement.
- Book collection early enough to meet the required notice.
- Ask for written confirmation of the final billing date.
- Keep the collection record until the final payment and any deposit release are settled.
Your rental return checklist
Use this when you speak with the supplier. Checkmarks are saved only in this browser; no collection request is sent.
1. Find the agreement and the next charge
Have the order number, supplier’s name, rental start date, current paid-through date and payment receipt together. Identify any automatic renewal and the exact notice method. If the booking came through a marketplace, check both the supplier’s agreement and the platform’s cancellation terms.
Medical Supplies Services expressly says marketplace rentals are subject to both agreements. Ask which organization handles the pickup request and which issues any refund. Sending a message to one party is not proof that the other has accepted the end date.
2. Request collection and confirm the billing cutoff
Give the collection address, order number, requested date and an accessible contact number. Ask for a confirmation that states both the appointment and the final rental charge. If the supplier cannot collect when requested, ask how the delay affects billing and obtain that answer in writing.
Medical Supplies Services requires 48 hours’ notice, normally schedules pickup at 2 pm and warns that delays can occur. Its agreement allows daily late charges, extra costs for a different return location and a 1.5% monthly overdue-balance charge, subject to the legal maximum. These are that supplier’s terms, not a universal rental rule.
- Notice sent: date, time, method and staff member or confirmation number.
- Pickup agreed: date, time window, address, access instructions and responsible person.
- Billing confirmed: last paid day, renewal avoided or applied, final balance and collection fee.
3. Separate unused rent from deposits and fees
An early-return refund, a security deposit release and a canceled delivery fee are different items. Ask for each calculation separately. A deposit may be returned only after inspection; do not assume the original payment was entirely a refundable deposit. Request the applicable deductions and expected processing date.
Medirect’s policy says rental equipment is not prorated and rental or delivery charges are not refunded. SkyeHealth’s terms instead say cancellation 24 hours before delivery qualifies for a full refund, while cancellation after delivery may involve prorated rent and a pickup charge. Neither example establishes what another supplier owes.
4. Prepare the equipment and access
Check the original equipment list and gather the supplied remote, rails, cables and other rented parts. Ask the supplier what cleaning it requires and who dismantles the bed. Keep any personal bedding or belongings separate. Do not dispose of a mattress or accessory without checking whether it belongs to the rental package.
Confirm building access, stairs, elevator arrangements and someone who can let the collection team in. If the address has changed, obtain approval and the revised transport charge first. Keep the bed’s identification tag attached so the supplier can match it to the order.
5. Check the collection record and final statement
Ask for a collection receipt showing the date and items returned. Note any condition issue raised by the driver and retain relevant photographs and messages. Compare the final statement with the confirmed end date, fees and any refund calculation. Ask about an unexplained charge promptly, using the order number and supporting records.
SkyeHealth publishes a $25 fee for returns more than two hours late. Its agreement also provides for inspection and payment for assessed damage within seven business days of notice. Confirm how an appointment delay is recorded rather than assuming every delay is the renter’s responsibility.
Common questions
Does asking for pickup automatically stop billing?
Do not assume so. Ask the supplier to identify the billing cutoff in your agreement and confirm it with the collection appointment. A notice requirement tells you when to contact the supplier; it does not by itself explain the last billable day.
Will I receive all unused rent back?
That depends on the agreement. Medirect publishes no proration or rental refunds; SkyeHealth describes possible prorated charges after delivery. Ask for your written calculation rather than treating either example as a refund guarantee.
Sources & approach
Based on linked supplier, manufacturer and public-agency information. This is source-based research, not hands-on testing or a clinical assessment. Confirm current equipment, terms and availability with the supplier; discuss equipment suitability with your care team.
